List the adults, children and children’s ages at the time of travel, then decide who shares which room. Send the same occupancy description to the accommodation and transfer providers. A family room photograph does not establish the number of beds, whether an extra bed is included or whether your whole party can stay in that category. Ask for the confirmed sleeping arrangement in ordinary language, particularly when travelling with grandparents or two families.
Compare usable rooms rather than labels
For a hotel or guesthouse, ask about bed sizes, stairs, adjoining-room requests and where breakfast is served. For an apartment or villa, establish which bedrooms are included, whether all bedrooms have the facilities you need, and what separates the sleeping area from shared living space. If a pool, balcony or garden affects your decision, ask for the details that matter to your family and assess them yourself. A family-friendly label is not a substitute for that discussion.
Count the bags when choosing the transfer
State the number of large cases, cabin bags, folded pushchairs and other bulky items. Ask the transfer provider to confirm passenger capacity with that load, and request any child equipment explicitly. Identify the arrival airport rather than saying Bangkok airport. Airports of Thailand’s Suvarnabhumi coach page shows that shared transport has its own baggage conditions; check those conditions and the final connection before comparing it with a private vehicle.
Coordinate arrival access and first-day timing
Tell the host when your flight is due and ask how check-in works if the room is not yet ready. Confirm whether luggage can be left and whether there is somewhere practical to wait. Send the driver the agreed entrance or reception meeting point. A privately managed apartment may involve a different key collection process from a staffed hotel, so a door-to-door ride alone may not complete the arrival arrangement.
Make changes visible to every provider
If one traveller cancels or the flight changes, update both the accommodation and transport request. Ask whether the revised group changes the room category or vehicle needed, and obtain a revised total. Keep room charges, transfer charges and optional activities separate so the comparison stays readable. The reservation form can collect the practical brief; it does not itself confirm adjoining rooms, a child seat or a vehicle. Each essential requirement needs a written reply from the provider.
